Housing Office Fall to Spring
Housing for the Spring 2022 semester is confirmed in November 2021-- but information gathering and housing requests will occur September-October, 2021.
We need to confirm all Fall-to-Spring housing assignments among residents and assist students who are returning from away-abroad with their Spring semester housing. While most residents return to the same room for the Spring semester, some will vacate and make space for others.
The Fall-to-Spring Housing Declaration is required from ALL residents in campus housing and Ocean View. Residents are expected to remain in their same housing assignments unless a change is requested by the resident, and a change is granted and officially confirmed by Housing.
Deadline: November 1
Residents in college housing during the Fall semester, who reside on-campus and at Ocean View, are required to declare their housing intent for Spring semester by November 1 (including reasons for any change) using the Fall-to-Spring Housing Declaration. Any new housing requests for Spring semester are also due by November 1, with one of the two request forms below.
The options in the declaration are:
- Stay in my same room
- Vacate the room
- Possibly vacate* the room
*The tentative declaration to possibly vacate may be submitted by a resident who is waiting for confirmation to study away-abroad for the Spring, or who may be seeking a room or roommate change that is TBD (to be determined). This preserves the same room assignment if the resident does not vacate for study abroad or whose change request is not granted.
Roommate and/or Room Change Requests
Roommate requests must be consistent with the declaration. There are two types:
#1 The first type of roommate request is for staying in one's same room and filling an opening. If there will be a confirmed opening in the room, the current resident is urged to fill the opening by mutual request with another student using this form. If two residents have, or will have, a third opening in their triple-designated room, this request should be mutual with all three students using the same request.
If you are included in such a request but do not agree to it, you should "Decline" it on the request form and thus remove your name from the request.
This request form only works with currently-enrolled students. If you are trying to Fill an Opening in your room with an incoming re-applicant or transfer student, you should contact the Director of Housing Services (email@example.com) for assistance.
#2 The second type of roommate request does not involve the same room, but is a mutual request for one or more location preferences.
This form is for students away-abroad during the Fall semester who are requesting a preferred housing location, whether it's an individual request or a group request. One or more location preferences may be indicated.
This form is also for current residents who want to request a room change. A room change request does not need to be a group request (i.e. involving requested roommates); it may be submitted as an individual-type of request. One or more location preferences may be indicated.
The procedures for check-out at the end of the Fall semester are determined and communicated by the Resident Directors. Residents who will vacate, or move to a different room, must complete the moving process before the halls close in December. Students returning from away-abroad during the Fall, and new, incoming students (i.e. transfers) will not check-in to the halls until January.
Students returning from away-abroad are understandably concerned, perhaps anxious, because campus housing is already quite full. Few rooms are completely open for roommate groupings in the Spring. There will be openings on campus, but the Housing Office does not publicize the openings because they are not confirmed until after the request deadline on November 1. Openings tend to be scattered throughout the residence halls as some Fall residents graduate, transfer, or leave to attend an away-abroad program for the Spring semester.
Many or most Spring housing placements may be determined as individual assignments rather than group assignments. Nonetheless, we still urge group requests because we seek to assign groups together as we are able. We use class standing to determine the order for making placements.
The majority of students coming to campus for Spring semester are away-abroad students who are returning after being away for the Fall semester. Others will be new, incoming students (i.e. transfers, re-applicants, consortium visitors). The deadline for away-abroad students to submit a Spring housing request is November 1. New incoming students have the same deadline if they are requesting a specific opening with a continuing resident. However, new incoming students will not be able to use the online forms (below), so communication needs to be conducted by email with the Housing Director.
The following two request forms are used, by students returning from away-abroad, to make roommate groupings and to indicate preferred locations:
The Request to Fill Opening with a Resident who will Stay in that Same Room is used to form a mutual group request with a resident on campus (or Ocean View) who will have a confirmed opening in the room. If two residents have, or will have, a third opening in their triple room, this request should be mutual among all three students. If you are included in such a request but do not agree to it, you should "Decline" it on the request form and thus remove your name from the request.
The Request for Spring Housing does not involve joining someone in his/her same room. It can be used either as a mutual group request, or as an individual-type of request. The form should include multiple location preferences. We do the best we can with stated preferences.
New transfers, re-applicants, and consortium visitors usually do not track with the November 1 deadline. Since they are unable to use the online forms (above), different communications with Housing are needed. New incoming students are assigned housing after all continuing students have been placed in late November. However, if a new incoming student and a continuing student are hoping to live together, advance communication with Housing is needed before the November 1 deadline.
